We have written this article to illustrate how we support our clients who have invested in buy-to-let properties. Often, they find as their portfolio grows, keeping on top of the financial tracing and administration becomes very time-consuming.

Haidee Watson met with one client last week to learn more about their properties and the level of support they needed.

The current situation

This was an existing client that had built up their property portfolio over several years. We already understood there were several portfolios running side by side; these were:

  • Properties jointly owned by the husband and wife
  • Properties owned by the wife and her sister
  • Others were managed through a Ltd Company

The client was struggling with to managing all the administration and was interested in finding out about the software as they knew this would make the whole process easier. However, due to other commitments, they also wanted us to run and manage the software.

How we helped

We gathered all the information at the meeting with the client and installed the software we would use. We showed them how to access the information so they could view it at any time too. We use Hammock, a property finance platform that provides banking, bookkeeping, tax statements, and business intelligence services for the property sector.

It was agreed that we would input all the data and manage the bookkeeping on behalf of our client. We offer This service to many clients, which gives peace of mind knowing it is completed thoroughly and accurately.

We loaded the property details, including tenants’ details and expected rental from each, which enabled us to track performance per property.  We inputted these as separate portfolios to track them in groups, which aids tax reporting tremendously. 

The next step is training the software to recognise regular repeat transactions, thus saving time and energy.   Once transactions are manually recorded initially from the automatic bank feed, the software picks this up next time.

The outcome

Our clients can now feel confident they have control of all the property administration and finances and are no longer constantly filling in spreadsheets. When the self-assessment tax returns are submitted at the end of the year, the whole process will be much easier for them both.
